Soliciting External Evaluator Letters for Faculty (Teaching) Promotion Packets

Dear Colleagues,

Departments/Units are required to obtain a minimum of three (3) evaluation letters selected by administrators and committees. All evaluators should come from outside of the candidate’s department (or college in non-departmentalized colleges). Furthermore, at least one (1) evaluation letter must come from an evaluator who is external to Wayne State. Those unit recommended external letters are compiled by following the process below:

Candidates requesting promotion are given the option to recommend the names of up to two (2) evaluators for solicitation of letters. Following receipt of the two (2) candidate recommended names, the department/unit P&T committee and department chair should compile a list of additional evaluators beyond those recommended by the candidate. The compiled list must be shown to the candidate. The candidate may elect to strike 1-2 names from the list of reviewers identified by the unit/department.

The department/unit is responsible for soliciting all letters. Candidates should NEVER solicit evaluator letters. If a department/unit decides to solicit and receives letters from either of the two (2) names recommended by the candidate, they do not count towards the university requirement for three letters recommended by the department/unit. Departments/units are not required to solicit letters from the external evaluators recommended by the candidate.

All letters received are considered confidential and should not be shared with the candidate. Candidates should not know whom the department/unit ultimately selects as evaluators. It is University policy that evaluations are confidential to the extent possible under Michigan law.
